eClinicalWorks Implementation Services from
Logan Solutions
Whether eClinicalWorks is your first EMR system, or you're migrating from another EMR, Logan Solutions specializes in making the transition a smooth one. Best of all, our Turnkey EMR means we do most of the work for you.
Turnkey EMR
Our background in clinical medicine and our experience training practices to use eClinicalWorks is unique. That’s why our services are sought. Logan Solutions partners with you to make sure you're successful.
What do we do for you?
- First, we perform a "Technology H&P” to thoroughly assess your current technology infrastructure and make sure you don't pay for equipment or services that you don't need.
- We discuss our recommendations with you and establish expectations on both sides.
- Purchase the hardware for you at a reasonable rate, so you know it will work with eClinicalWorks.
- Configure and install the hardware and network, or work with your IT people to do it.
- Install eClinicalWorks and migrate data from your current system.
- Customize the eClinicalWorks software to your specifications.
- Train the physicians and staff at their own level, so everyone gets the most out of training and becomes proficient with the system.
And, since everyone can absorb only so much information in a short amount of time, we split up the training so you get the best bang for your buck. We continue to support you long after the implementation is complete.
Implementation Process
Contract
Signing the contract is the first step in going live with eClinicalWorks. The contract is between the practice and eClinicalWorks. Payment for the eClinicalWorks software and services are payable directly to eClinicalWorks. Logan Solutions provides a separate product and services contract.
Kickoff Call
During the kickoff call Logan Solutions reviews the implementation process with you in detail. Of course, since we already know you and your practice, this process is fairly painless. Most importantly, we set expectations and review timelines.
System Setup Spreadsheet (SSS)
The SSS allows you to easily input practice data--provider numbers, referring doctors, facilities, etc.--into an Excel spreadsheet for simple upload into the system. The practice is responsible for completing the SSS.
Clearinghouse Enrollment
Logan Solutions recommends Gateway EDI as your clearinghouse. The reality is that clearinghouses are commodities--most of them do the same thing for roughly the same price. So, what differentiates clearinghouses from one another are customer service and value-added services. That's where Gateway EDI stands alone.
Enrollment starts with contacting Eric Cohoon 800-969-3666 x1257 or ecohoon@gatewayEDI.com. Eric demonstrates the Gateway EDI web user interface and value added services. If you decide Gateway EDI is the clearinghouse for you, then you are assigned a personal account manager and the enrollment process begins. Be sure to complete the Gateway EDI paperwork immediately to avoid delay in eClinicalWorks training and go-live.
Hardware and Networking
Following the Technology H&P © that is part of the sales process, Logan Solutions begins working on the technology items to ensure a successful implementation.
Practice Data Checklist
The PDC is required by eClinicalWorks so that we have the data necessary to ensure a smooth transition to eClinicalWorks. Logan Solutions will provide you with the PDC and ask you to complete it. We are available to help.
IT Checklist
eClinicalWorks also requires the IT checklist be completed. If we are responsible for your IT work, Logan Solutions will complete the IT checklist.
File Build
Prior to training, it's important to complete the file build, including the system setup and billing setup. Logan Solutions works with you to ensure that the correct data is entered into the system.
Training
Logan Solutions training staff are prepared to train you and your staff, usually 6-8 weeks after receiving your signed eClinicalWorks contract. You will be supplied a training agenda during the kickoff call.
Logan Solutions favors a "hands-on" approach to training We minimize the time spent sitting in a dark room watching the trainer navigate eClinicalWorks on the big screen. Instead, we use a "see one, do one, teach one" approach. You'll see our trainer demonstrate a skill on screen, then the group will break out into small groups to perform the skill. Reinforcement is achieved when users act as resources to each other.
The result of this hands-on approach to training is users who are well-prepared to function in the system after the training staff leaves.
